Here are the pool related changes for 2025:
 
PoolPass Portal 
Beginning this year, Hartland residents will use an online portal to manage pool access. Residents will need to sign in to complete their written acknowledgement of the pool rules, confirm their family listing is accurate, and purchase special pool memberships. 
 
Daytime Pool Parties!  
The Hartland pool is a great place to host your child's birthday party, family reunion, or small gathering of friends. In addition to the nighttime pool rentals providing exclusive use of the pool, there is now a daytime option that provides dedicated picnic tables under the canopy, and admission for up to 12 people for three hours. 
 
The Venmo ID has changed 
The use of Venmo was so popular last year that we are continuing to offer this option for guest fees. The QR code will be on display at the check-in table. Please remember that because it's not always possible to connect a Venmo ID with a specific Hartland resident, each transaction needs a comment that includes the Hartland address initiating the transfer and the purpose of the transfer. If there is a Venmo transfer without a comment tying the money to a Hartland property or the purpose, we'll assume it's a donation ... and thank you very much!
 
 

Pool Membership

The pool is open to Hartland residents in good standing with the Hartland Homeowners Association (HHA), their children whose legal address is in Hartland, their grandchildren up to age 16, and holders of special passes sponsored by the resident. 
 
To be in good standing, annual dues and fines must be paid in full by May 17, 2025, and there cannot be any outstanding liens on the homeowner's property filed by the HHA. Persons entering the pool may be asked to provide proof of Hartland residency in the form of a KY driver's license or ID.
 
Children under the age of 13 must be accompanied by a supervising adult age 17 or older. A supervising adult can be a parent, grandparent, or older sibling that is a Hartland resident, or a caregiver with a current Hartland caregiver pass.
 
Grandchildren ages 16 and under are included in the Hartland pool membership of the property owners but grandchildren MUST be accompanied by their sponsoring grandparent at all times. The only exceptions to this rule are children where one of their parents has an Extended Family Membership for the season. In those cases, the Extended Family Membership holder may bring their children to the pool and supervise them. 
 

Pool Access

We use a software product called Poolpass to manage pool access. Residents will need to complete an online verification of family members (or a new application for anyone who is new to Hartland since Labor Day 2024).
 
Poolpass supports an electronic pass (e-pass) on your phone or, if you don't mind a small fee, a credit-card sized
pass to carry in your pocket. The gate attendant will use a scanner to check you in at the gate ... no need to remember a pool membership number. 
 

Pool Rules

Property owners must complete a written acknowledgement of the pool rules and a written waiver prior to being given access to the pool. This annual verification is completed in the PoolPass Portal.  Click here to complete the required form by May 17, 2025.

Below is the complete list of pool rules:   
 
AUTHORITY OF LIFEGUARDS AND POOL MANAGERS
  1. The lifeguards and pool manager on duty have the authority to enforce all rules. They will consider all relevant environmental factors (crowd size, crowd conduct, weather, pool visibility, etc.) and have the authority to request unsafe or discourteous activities be stopped. They have the authority to remove residents, pass holders, and guests who fail to comply with their requests or the rules. 
  2. No one is allowed to willfully threaten, harass, or engage in a course of conduct against anyone that would cause harm or serious emotional distress, or the reasonable apprehension thereof, or create a hostile environment in the pool area.       
  3. No conduct that poses a safety risk to anyone in the pool area, or any immoral, improper, unlawful, threatening, harassing, or offensive behavior or any behavior which becomes an annoyance or a nuisance to anyone in the pool area is allowed.
  4. Refusal to comply with requests from the lifeguards or pool manager, or repeated violations of the rules will be referred to the Hartland Homeowners Association (HHA) Property Manager and, if necessary, the HHA Board, and may result in a member, passholder, or guest forfeiting access to the pool for the remainder of the year.
 
ADMITTANCE
  1. Everyone must observe posted hours and posted rules.
  2. Everyone must check in at the front desk. 
  3. Children 13 and under must be accompanied by an adult 17 years of age or older. ID may be requested of the supervising adult to confirm they meet the age requirements.
  4. Anyone using a guest pass must be accompanied by the sponsoring resident. Guest fees must be paid prior to guests entering the pool.
  5. Anyone using a caregiver pass must be accompanied by their charge(s). 
  6. Anyone with contagious illnesses, open sores, or fever are not permitted at the pool.
  7. Anyone jumping the pool fence will be barred from the pool for the rest of the season.
  8. Animals are not permitted on the pool deck or in the pool, except during special events where permission for animals is explicitly granted. 
 
ACCEPTABLE BEHAVIOR
  1. Profanity is not permitted at the pool.
  2. Rough or boisterous play, wrestling, fighting, running, spitting, spouting water, and displays of public affection rated higher than ‘G’ (general audiences) are not permitted at the pool.
  3. Children who are not potty-trained and incontinent adults are required to wear swim diapers i.e., diapers designed specifically for pools, at all times.
  4. During adult swim periods, which are usually the last 10 minutes of each hour, use of the pool is limited to adults 18 years of age and older and their children 6 years of age or less that remain within one arm’s length of their supervising adult.
  5. People under the influence of alcohol, drugs, or medication that may cause drowsiness may not enter the pool or hot tub. Anyone displaying significantly altered behavior typical of excessive alcohol, drugs, or medication will be asked to leave the pool.
 
SMOKING, FOOD, AND BEVERAGES
  1. Smoking, vaping, chewing tobacco, and gum are not permitted at the pool.
  2. Breakable items (glass, ceramics, etc.) are not permitted at the pool.
  3. Food and beverages may be consumed on the pool deck, never in the pool. 
  4. All trash must be disposed of in the designated container by the person generating the trash. 
 
TOYS AND INFLATABLES
  1. Inflatables are not permitted at the pool, except for Coast Guard approved life vests, life jackets, inflatable arm bands, ‘pool noodles’, and similar items designed specifically for the safety of those with poor or no swimming skills. .
  2. Soft balls and small pool toys are allowed in the pool and on the pool deck. Lifeguards have the authority to clear the pool of any or all toys. When not in active use, balls and other toys must be removed from the pool. 
  3.  Objects (toys, food, glasses, etc.) may not be thrown across or above swimmers or sunbathers, nor may ANY object be thrown at a lifeguard or pool manager.
  4. Bicycles, tricycles, battery operated personal transportation devices, and similar wheeled devices must be parked at the bike rack outside the gate; they are not permitted on the pool deck or in the pool.
 
LAP LANES AND DIVING WELL
  1. The dedicated lap lane(s) are intended for lap swimming.
  2. Play and swim lessons are not permitted in the lap lane(s) when in use by lap swimmers. 
  3. If a lap swimmer indicates they wish to begin lap swimming, residents and guests not swimming laps should immediately vacate the designated lap lane(s).
  4. The diving boards are to be used only for diving; anyone hanging on the boards or using them for other than their intended purpose may be asked to leave the pool. 
  5. Divers may take one bounce on the board prior to their dive.
  6. Divers are the only people allowed in the pool areas between the boards and the ladders. After completing a dive, divers should swim directly to their designated ladder to exit the diving well.
 
HOT TUB AND BABY POOL
  1. Prior to 6:00 p.m., anyone in the hot tub under the age of 17 must be closely supervised by an adult.  After 6:00 p.m. hot tub users must be 18 years of age or older. 
  2. The baby pool is reserved for children 6 years of age or younger, who must be closely supervised by an adult present in the fenced baby pool area.
 
 
 
 

Pool Hours

The pool will be open May 24, 2025, through September 1, 2025. 
 
The operating hours when Fayette County Public Schools (FCPS) are out of session: 
  • Weekdays from 11:00 a.m. to 9:00 p.m. 
  • Weekends from 11:00 a.m. to 9:00 p.m.
  • Closed June 25, July 2, and July 9 for home swim meets
 
The operating hours when FCPS are in session:
  • Weekdays from 4:00 pa.m. to 9:00 p.m.
  • Weekends from 11:00 a.m. to 9:00 p.m.

Guest Fees

Family and friends of Hartland residents are welcome at the pool with the payment of a guest fee; rates are listed below. Payment may be made in person at the pool by check, cash, or Venmo.
  • Monday through Thursday - $5 per person 
  • Friday through Sunday - $10 per person
  • Fourth of July - $25 per person
 
Guests must be accompanied by the sponsoring resident at all times.  
 
Guests are required to register before entering the pool area. Without registration, guests will be charged guest fees each time they attempt to enter the pool area on the same day.  
 
Finally, to reduce wait times at the gate, guests may be provided a wristband or a hand stamp on busy days. This will allow them to re-enter the pool area simply by showing their wristband or stamp to the pool gate attendant.
 

Single Year Pool Passes (Caregiver, Extended Family, Gardens of Hartland)

Below are the special pool passes available to residents. Each pass is good for one pool season; prices include online processing fees.
 
These passes must be purchased on the online PoolPass Portal. Please allow up to 2 business days for the pass to be activated. 
 
Caregiver Pass ($80):  This pass is assigned to a specific family for a single pool season. The pass provides pool privileges for one caregiver at a time; multiple caregivers may use them over the course of the pool season (one at a time). Caregivers must be accompanied by the resident for whom they provide care at all times. To purchase a caregiver pass, click here to use the PoolPass Portal.
 
Extended family pass ($240): This pass is intended for adult children of current Hartland residents where the adult child does not reside in Hartland. These passes are assigned to a specific person for a single pool season. Pass holders may enter the pool without accompaniment, may act as the supervising adult to their own children, and may purchase guest passes. Gardens of Hartland season pass (price varies): These passes are assigned to a person ($xxx), spouses/partners ($xxx), senior citizen spouses ($xxx), or family ($xxx), depending on the type of pass purchased. Pool Rental

The Hartland pool facility is available for rent by Hartland residents in good standing with the HHA.
 
Evening rentals
These offer exclusive use of the pool and run from 9:00 - 11:00 p.m. Required lifeguard staff are included in the rental fee. The rental fee is based on the number of people in your party and includes the mandatory KY sales tax. 
    • 0-60 people:  $318
    • 61-80 people: $424
    • 81-100 people: $530
Daytime pool parties
These offer a group rate for up to 12 people for three hours.

Weather related closing

Please note that the lifeguards and pool manager on duty are *the* authority when bad weather happens. When they clear the pool or pool deck, please follow their instructions immediately, without discussion. They are charged with everyone's safety, and we need to support them without delay. There will be time after everyone is safely relocated to ask questions but please, respect their authority to clear the pool or deck and don't delay them with questions (or arguments!)
 
Raining? If the lifeguards deem it too hazardous to be in the pool or on deck due to the severity of the rain or the behavior of residents at the pool, you may be asked to clear the pool or pool deck. 
 
Thunder? The pool must be cleared if thunder is heard and it must remain clear for 30 minutes after the last thunder booms. This time is measured by the lifeguards, not residents or guests or The Weather Channel. 
 
Lightning? The pool and pool deck must be cleared if lightning is sighted and it must remain clear for 30 minutes after the last bolt flashes. Again, time is measured by the watchful eyes of the lifeguards. 
 
Snow? Well, you've got us there. Enjoy your own personal Polar Bear Plunge, Hartland style. Brrr!
